So we all know staying focused at work is pretty tricky. Especially since we have so many fabulous digital distractions. And you know what I’m talking about; Pinterest, Instagram, those cute little animal memes, Facebook feeds and hysterical fail youtube videos. We also have not-so digital distractions such as chatty co-workers, unresolved coffee addictions and lunch breaks that turn into early happy hours. So what can we do to maintain a efficient and productive workspace? Here are some tools I’ve found to help increase my productivity and keep my distractions to a minimum.
BaseCamp Project Management: This platform is my favorite for collaborating on projects. I wish this had been around in college! My partner and I use this software pretty frequently for Prize Visual projects. Sharing documents, creating tasks and keeping up to date with to-do’s is made easy. I love the app-version’s interface and also Basecamp is 3rd-party app friendly.
You can easily create teams, groups etc. and assign people to tasks, start message threads, create documents and more all right there! Which cuts down on work time as you can stay on one platform rather than having to bounce all around searching for documents and trying to find where your team put something. I’m a fan, it starts at only $20/month not bad at all, and there is a 60 day free trial!
GetFlow : This is what we use at Found Media. It’s clean and simple with no frills. It’s also $20/month. It’s more task management based than Basecamp. Flow focuses on lists, tasks, and quick efficient communication.
Producteev : This is what we currently use for Phox Charge and I love it because it’s free and also has an app version. I don’t love the app interface as much, but the web version is great. For being a free product, the functionality and available tools is great! I’d recommend this option to anyone in start up land trying to stretch their dollar…since none are involved with this one!
iCal’s: This is one I’m only just starting to really utilize as I’ve recently become so much busier with all my endeavors. Juggling 3 different jobs with 3 different people every week can get overwhelming and definitely puts a strain on the calendar. I’m constantly having to make sure I don’t double book myself for meetings, carve out time for creative briefs and of course one or two nights with the girls. iCalendars really helps with that. Here’s a short little tutorial on how to subscribe to other people’s calendar so they can stay in the loop and you can spend more time working instead of coordinating schedules.

Google Drive: Ok…the best for last. I love Google Drive. It makes everything I do for work easier, faster and definitely more productive. If you are not utilizing it for at least one aspect of your business you are missing out! It’s helped cut down time wasted previously in downloading several versions of the same document. The forms have allowed us to speed up our questionnaires while ask more detailed questions and in turn eliciting better responses. One of my many favorite features is how you can collaborate and edit docs with other teammates in real time. This makes it super easy to work on something together with out physically being in the same place. I recently blogged a video about the all the add-on capabilities it has and I’m just loving how I can go to work on something and it saves as I go! Hallelujah!
I’m sure I’ll be posting more soon regarding how to stay productive when you have pesky co-workers always trying to distract you! But my main advice is to create mini goals/deadlines throughout the day for yourself and don’t let anyone or anything get in your way of achieving your goals. Especially productivity.
